Position Requirements:
1. Take, circulate, and keep records of meeting minutes:
- When at HOD/Staff/Board meetings, take minutes and have them circulated.
- Keep meeting minutes in both electronic and paper files in a folder.
- HODs or staff could help check and point out miss-recorded items. Make sure the kept files are revised.
2. Collect, compile, and distribute cross-department reports:
- The monthly reports to FOPEB’s and PEB Board should be turned in by the first Wednesday of each month for FOPEB’s meeting on Thursday. The report is ideally to be put together in one file instead of sent as separated files in various formats.
- A reminder is ideally to be sent to all HODs a week prior to the deadline.
- SHA reports would have to be emailed to respective donors and board members.
- For cross-department matters, facilitate the communication and decision-making process.
- When the Executive Director is out of the country, the assistant needs to make announcements on behalf of the ED.
- Compile record and arrange Executive Director reports, Annual reports, Friends of PEB reports and other groups of USA and Germany.
3. Organize internal meetings for staff and HODs:
- Assist in preparation of meetings and announce to all participants.
- Communicate with School Principals.
4. Manage the Executive Director’s calendar and schedule; screen appointments and visitors for the Executive Director:
- Confirm each appointment request, and visitors with an appointment, with the Executive Director, then make responses.
- List meetings and events on the calendar and give a reminder beforehand; assist the communication when a change of schedule is needed.
- Interrupt an ongoing meeting for urgent communications or notice of the next schedule.
- Prepare Presentations for Donors and Guests.
5. Keep records of PEB policies:
- For cross-department matters or on request of department needs, research and draft related policies.
- Policies should be discussed, approved, and reviewed by all related HODs or staff representatives.

He/she will work in conjunction with the principal and in his/her absence be responsible for the day to day running of the school.

- Work with the principal to create a shared vision and strategic plan for the school.
- Work with the principal to implement the vision and strategic plan.
- Demonstrate the vision and values in everyday work and practice.

- Treat people fairly, equally and with dignity and respect in order to create and maintain a positive school culture.
- Demonstrate and express high expectations and set challenging targets for staff and students.
- Work with the principal to create an environment of challenge and support in which all pupils can achieve success and are engaged in their own learning.
- Challenge underperformance and ensure effective corrective action and follow-up.
- Implement the curriculum in its true spirit.
- Teach 12 periods a week.
- Carry out class observations and check a range of notebooks in different subjects.
- Maintain observation records of the classes observed and notebooks checked. Discuss the observations with the teachers on the same day.
- Check lesson plans and guide teachers in their preparation.
- Give guidelines for writing examination papers and monthly test papers.
- Check the quality of examination papers and marking schemes.
- Randomly check the marked papers to ensure quality and consistency of marking.
- Ensure that classroom displays are changed on a regular basis and that material for display is appropriate.
- Prepare the timetable for the Girls’ school.
- Oversee the timetabling of monthly tests and examinations.
- Meet with parents regarding students’ progress and performance as required.
- Organize and prepare students for Inter-School Competitions in coordination with other teachers.
- Maintain discipline within the school.
- Arrange meetings of the teaching staff in consultation with the principal, producing appropriate agendas and minutes/notes as required.
- Give guidelines to new staff. Work alongside all staff to help them grow professionally.
- Arrange for in-service training courses, if directed to do so by the principal.
- Interview potential new staff with the principal.
- Evaluate all staff members.
- Keep records of all available resources in the school and monitor the use of resources.
- If teachers are absent, allocate their periods and duties to others using the substitution diary.
- Prepare the duty lists. (e.g. before / after school duty, break duty, assembly, staff devotions)
- Ensure that all staff members are aware of their responsibilities and duties and that they carry out these duties and responsibilities properly.
- Collect results of competitions and organize for the writing of certificates.
- Check the closing of student attendance registers each month.
- Total the number of leaves for teachers and support staff each month.
- Draft circulars as directed by the principal.
- Take the school assembly at least once a week.
- Work with the principal to produce appropriate advertising materials (banners, flyers etc.) for the school.
- Keep scholarship information up to date.
- Oversee the taking of an inventory each year. Maintain the inventory register.
- Regularly review own practice, set personal targets, and take responsibility for own personal development.
- Accept such tasks as may from time to time be reasonably required to further the work of the institution.
- Prepare the students for different activities according to the academic calendar.
- Ensure students are registered for Classes 9 and 10 board examinations.
- Check Emails daily and respond accordingly.
- Provide monthly data of students and staff and other information required, quickly and efficiently.
- Look after the school buildings and grounds to ensure the security of employees and students.
- Think of ideas as to how the school could be improved and developed and discuss these ideas with the appropriate people.
- Report to the principal on a daily basis.
